May I extend my stay at the hotel?
Should you wish to extend your hotel stay, our event concierge would be pleased to assist you with any post-stay extensions. Pre-event dates are not available at The Lodge & Spa at Brush Creek. If you decide to extend your hotel after the designated program dates of 09/18/25 – 09/22/25, you will be responsible for the expense. Pending availability, a preferred rate has been secured for you. Please email Toshibaevents@helmsbriscoe.com for further information. If you need to cancel or make changes to your hotel extension, please contact the event concierge at least 14 days before your reservation date or you may be charged a penalty equal to one night's room and tax. Please note that you will be responsible for your ground transportation to/from the hotel if you do extend your stay. Additionally, the event travel staff can advise you of the best options to minimize your expense for trip extension.


How do I make my airline reservations?
The process of booking air travel begins by filling out the travel details within the registration form under the "Register Now" tab. Once your registration is submitted, the travel information will be sent to the travel department. An itinerary will be created combining your preferences and certain event guidelines (i.e., coach travel) and sent to you via email. You will have 24 hours to confirm the itinerary by responding to the travel department. If you wish to make travel plans that deviate from the official program dates, please discuss it with the event travel staff as additional costs will be incurred and will be your responsibility.

Note: Any cost resulting from flight changes after reservation completion will be at your expense.


May I upgrade to first class or upgrade my seating?
If you wish to upgrade your ticket to first class, or upgrade your seating, our travel department will be happy to assist you. Please make the request in the notes section of your registration form to ensure the request is documented. Should you choose to upgrade your ticket, you will be responsible for the cost difference between a coach class ticket and first class.


Will there be any out-of-pocket costs?
During the official dates of the event, expenses associated with airfare, ground transportation to and from Denver International Airport, overnight accommodations, sponsored meals, and activities will be covered for you and your guest. Transportation to and from your local airport as well as all incidental charges (i.e., room service, in-room private bar, dry cleaning, phone calls, faxes, business center charges, etc.) incurred during your stay will be at your own expense.


Will I be responsible for any tips or gratuities?
All tips and gratuities for the airport, hotel porterage, and housekeeping are all included. 


What if I have special dietary requirements?
Please note any dietary requirements under the "Register" tab when you register, and we will be more than happy to accommodate these requests.


Once I've registered, can I modify my registration?
You will be able to make changes, based on availability, at any time while registration is open. After your registration is completed, you will be responsible for any additional cost/penalties incurred due to changing your airline schedule or extending your hotel stay.


What is the weather like in September at Brush Creek Ranch?
During the month of September, the average high temperature is in the mid-to-low 70s, with lows in the low 40s.


Can I enjoy a drink at lunch before my activity?
Safety is a top priority with both Toshiba and Brush Creek Ranch. Please keep in mind when booking afternoon activities that the following do not allow alcohol to be consumed before the activity. Once you return from your activity, feel free to stop in the Saloon to wet your whistle!

What should I pack?
When visiting the Ranch, most guests wear casual outdoor/active wear and/or Western clothing both day and night. During the day, dress for the activities you plan to participate in. The weather is varied and tends to be much cooler in the early morning and evening, so plan accordingly with layers and appropriate outerwear. For evenings, skirts, jeans, or pants are all appropriate. Saloon time and dinners, we typically go more dressy casual – adding a belt, jewelry, cowboy hat, etc., if you wish. But it is certainly not expected.

Packing Essentials:

  • Light, waterproof jacket with hood
  • Fleece pullover/vest
  • Sweater or sweatshirt/hoodie
  • Packable coat and gloves
  • T-shirts
  • Long-sleeved tees/shirts
  • Softened jeans for riding
  • Other pants/khakis
  • Dinner Attire
  • Bathing suit for steam/sauna
  • Boots or appropriate sturdy shoes for walking/hiking
  • Gym/Court shoes if you wish to play basketball or use Fitness Center
  • Appropriate socks
  • Cowboy boots (if you have them)
  • Sunglasses
  • Sunscreen
  • Hat with adequate brim; cowboy hat, baseball cap, per your preference
